What is Guild Vault?

Guild Vault is independent guild operations software for MMO and Discord communities. It gives guild leaders tools to manage rosters, ranks, raids, events, DKP, statics, recruitment, performance tracking, alliances, and Discord automation under one subscription.

Is Guild Vault an in-game guild bank, guild vault, or Guild Wars feature?

No. Guild Vault is a web-based guild management platform, not an in-game storage system, inventory, guild bank, or wiki feature. Guild Vault is not affiliated with Guild Wars, ArenaNet, Discord, Blizzard, Square Enix, Amazon Games, NCSoft, NetEase, or any other game publisher.

What does Guild Vault automate?

Guild Vault is built around automating the repetitive work that takes up most of a guild leader's day. Attendance is logged automatically — the Discord bot scans voice channels at event start and records who was present. Match rosters pre-fill from confirmed attendees when an event ends. DKP points are awarded automatically to members whose attendance is confirmed. Discord is kept in sync without manual posting — events, announcements, and lineups post and update themselves. Scoreboard stats can be imported from a screenshot using OCR, skipping manual data entry entirely. Recruitment applications are collected and stored without any DMs or spreadsheets. The goal is that the tool handles the admin so officers spend their time leading, not managing software.

How much time does Guild Vault save guild leaders and officers?

Guild leaders and officers typically spend 2–4 hours a day on guild admin — tracking attendance, updating the roster, running DKP, building lineups, posting Discord announcements, and reviewing applications. Guild Vault automates or centralizes all of that. Voice attendance is scanned automatically after events. DKP awards and deductions are logged instantly. Rosters update in real time. Discord embeds post themselves. The result is that guild leadership work that used to take hours can take minutes.

Does Guild Vault only work for specific games?

No. Guild Vault is game-agnostic. Classes, ranks, stat columns, event types, and roles are all fully customizable per guild. It works for any MMO, online game, or gaming community that needs coordination tools.

Can I use Guild Vault for Throne and Liberty?

Yes. Guild Vault is well-suited for Throne and Liberty guilds. You can manage large rosters, schedule siege and boss events, track voice attendance automatically, run DKP auctions for loot distribution, organize static raid teams, and automate Discord announcements and reminders.

Can I use Guild Vault for Where Winds Meet?

Yes. Guild Vault has specific support for Where Winds Meet guilds including OCR screenshot import with column position mapping — which handles duplicate column headers like "Defeated" appearing as both kills and deaths. Members register their in-game character names and the scanner auto-attributes scoreboard rows.

Can I use Guild Vault for World of Warcraft?

Yes. WoW guilds use Guild Vault for DKP tracking with live auctions, raid scheduling, attendance tracking, performance stat logging, and Discord bot integration for announcements and role menus.

Can I use Guild Vault for Final Fantasy XIV?

Yes. FFXIV free companies use Guild Vault for static team planning with role-based slot assignments, Savage and Ultimate raid scheduling, recruitment application forms, and Discord automation.

Is Guild Vault only for large guilds?

No. Guild Vault works for any size community. Small guilds use it for basic roster and event tools. Larger guilds add DKP, performance tracking, alliances, and Discord automation as they grow.

Pricing & Trials

How much does Guild Vault cost?

Standard is $9.99/month and includes the full guild suite — roster, events, DKP, statics, performance tracking, and recruitment. Premium is $18.99/month and adds Discord bot automation, alliance management, and OCR screenshot import. Discounts are available for quarterly, semi-annual, and annual billing.

Does Guild Vault charge per member?

No. Guild Vault charges per guild, not per member. One guild owner pays the subscription and every member of that guild gets access to all the tools included in that plan. Members always join for free.

Is there a free trial?

Yes. Standard and Premium plans both include a 14-day free trial. No credit card is required to start. One trial per account.

Can I cancel anytime?

Yes. You can cancel your subscription at any time from the billing page. Your guild keeps access until the end of the current billing period. No refunds are issued for unused time.

What happens if I downgrade?

Downgrades take effect at the end of your current billing period — you keep your current tier until then. Premium-only features like Discord bot sync and OCR screenshot import become unavailable after the downgrade.

Can I transfer my subscription to another guild leader?

Yes. Guild Vault supports ownership transfers. The current owner initiates a transfer, the recipient accepts it, and the remaining paid subscription time stays with the guild. The new owner can add their own payment method before the next billing cycle.

Are there discounts for longer billing cycles?

Yes. Quarterly billing saves 15%, semi-annual saves 25%, and annual saves 33% compared to the monthly rate. The discounted total is charged upfront.

Accounts & Members

Do my guild members need to pay anything?

No. Guild members create a free account and join the guild. Only the guild owner pays the subscription.

Can I be in multiple guilds at once?

Yes. One account can be a member of multiple guilds simultaneously. You can switch between them from the dashboard.

How do members join my guild?

Guild leaders create invite links from the Roster page. Invites can be set to direct join (instant access) or application mode (members submit a form that managers review and approve).

Can I set different permissions for different ranks?

Yes. Guild Vault has a fully customizable rank system with 11 permission toggles per rank — controlling who can invite, kick, manage events, post announcements, manage DKP, view stats, and more.

What login methods are supported?

You can sign up and log in with email and password, Discord, Google, or Twitch. Accounts using the same email address across different providers are automatically merged.

Can members connect their Discord account?

Yes. Members connect Discord from their profile page. Once connected, their Discord avatar appears on the roster and the Discord bot can recognize them for commands, attendance scanning, and DKP awards.

Discord Bot

Does Guild Vault require Discord?

No. All core guild tools — roster, events, DKP, statics, performance — work entirely on the website without Discord. The Discord bot is an optional Premium feature that adds automation and two-way sync.

What does the Discord bot do?

The bot can post event embeds with RSVP buttons, scan voice channels for attendance at event time, post and edit announcements, sync tournament brackets, send event reminders, post self-role menus, welcome new server members, and respond to slash commands for profile, class, status, DKP, and tournament actions.

Which plan includes the Discord bot?

The Discord bot is a Premium feature. Standard guilds see the web tools only. Premium guilds get full two-way Discord sync.

Do my Discord members need a Guild Vault account to use self-role menus?

No. Self-role menus posted by the bot work for any Discord server member — they do not need a Guild Vault account to select roles from the dropdown.

Can the bot scan who was in a voice channel during an event?

Yes. When you enable "Scan voice attendance" on an event, the bot checks your configured voice channels 2 minutes after the event start time and automatically marks which members were present.

Features

What is the DKP system?

DKP (Dragon Kill Points) is a guild currency system for distributing loot fairly. Members earn points by attending events and completing activities. They spend points in a guild shop with fixed-price items or live auctions. Guild Vault tracks balances, bids, taxes, and full ledger history.

What are Statics?

Statics are fixed team compositions — groups of members assigned to specific roles for recurring content like raid teams or PvP squads. You can define custom roles, organize teams into groups, and link statics to events for team builder coordination.

What is the OCR screenshot import?

OCR (Optical Character Recognition) lets you take a screenshot of an in-game scoreboard and automatically import the stats into a match record. Guild Vault reads player names and stat columns from the image and matches them to your guild members by their registered character names. This is a Premium feature.

What are Alliances?

Alliances let multiple guilds coordinate together. A Premium guild can host an alliance, invite partner guilds, run shared events, view a combined roster with privacy controls, post alliance-wide announcements, and review cross-guild attendance. Each guild keeps its own private settings separate.

Can I run tournament brackets in Guild Vault?

Yes. Guild Vault includes single-elimination tournament brackets with seeding, drag-and-drop participant management, best-of format support, and Discord embed sync. Managers advance matches and the bracket updates automatically.

Can Guild Vault track performance stats?

Yes. The performance system lets you log match results with fully customizable stat columns (kills, deaths, damage, healing, or anything your game uses). You can view per-player averages, career totals, recent form, and composition win rates. Stats can be entered manually or imported via OCR screenshot.

Can we review match VODs through Guild Vault?

Yes. Any guild member can attach a VOD link to a match record from YouTube, Medal, Twitch, or another platform. Officers can review footage beside the player stats, use reusable coaching templates with general, role, and class criteria, mark checklist items, write notes, and save feedback for managers and the VOD uploader. This gives competitive guilds a centralized VOD review workflow instead of separate Discord links and coaching spreadsheets.
